Please read them alongside our Privacy Policy and Cookie Policy.

In these terms, “The Online PA”, “we”, “us” and “our” refer to The Online PA.

“You” and “your” refer to anyone visiting or using this website.

Using this website

You are welcome to use this website for lawful purposes and to find out more about The Online PA and the services we provide.

You must not:

  • use the website in a way that is unlawful, fraudulent or harmful

  • attempt to gain unauthorised access to the website, its servers or connected systems

  • introduce viruses, malicious code or other harmful material

  • interfere with the normal operation or security of the website

  • use automated tools to scrape, copy or extract substantial parts of the website without our permission

  • copy or use our content in a way that infringes our intellectual property rights

We may restrict or suspend access to the website if reasonably necessary to protect the website, our business or other users.

Website availability

We do our best to keep the website available and working properly, but we cannot guarantee that it will always be available, uninterrupted or error-free.

We may update, change, suspend or withdraw parts of the website without notice where reasonably necessary.

From time to time, the website may be unavailable because of maintenance, technical issues or circumstances outside our reasonable control.

Website information

We take care to keep the information on this website useful and accurate.

However, website content is provided for general information only and should not be treated as professional legal, financial, tax, accounting or other regulated advice.

Although we make reasonable efforts to keep information up to date, we cannot guarantee that every piece of information will always be complete, accurate or current.

If you are making an important business decision, you should obtain appropriate professional advice where necessary.

Our services

The Online PA provides virtual assistant and business support services, including practical administrative support, systems and process improvements, website and content support, and other agreed business support.

The examples on this website are intended to give you an idea of the types of work we may be able to help with. They do not guarantee that every service or task will be available in every situation.

Services are subject to:

  • availability

  • the nature and scope of the work

  • the skills and capacity required

  • any applicable legal, regulatory or technical restrictions

  • agreement between you and The Online PA

Submitting an enquiry through the website does not create a contract or oblige either of us to work together.

Working with The Online PA

Before work begins, we will agree the relevant details of the service with you.

These may include:

  • the scope of support

  • the retainer or project arrangement

  • fees and payment terms

  • start date

  • responsibilities

  • communication arrangements

  • confidentiality and data-protection requirements

  • cancellation or notice arrangements

  • any other terms relevant to the work

These details may be set out in a proposal, service agreement, statement of work, email confirmation or other written agreement.

Where there is any conflict between these website Terms & Conditions and a specific written agreement relating to services we provide to you, the specific service agreement will take priority.

Monthly retainers

Our website currently offers monthly retainer packages for ongoing support.

The particular retainer, number of hours and price will be agreed before work begins.

Unless we agree otherwise in writing:

  • retainer time is tracked in 15-minute increments

  • retainer hours are reserved for the relevant month

  • unused retainer hours do not roll over into a later month

  • additional work beyond the agreed retainer is subject to availability and prior agreement

  • changes to a retainer are subject to our available capacity

Our standard retainers currently have an initial minimum commitment period. The precise commitment, notice period and other arrangements applicable to you will be confirmed before your service starts.

Bespoke projects

We may also agree to undertake particular projects outside a monthly retainer.

For bespoke work, we will normally agree the scope, estimated or fixed cost, timing and any relevant assumptions before work begins.

Changes to the original scope may affect the cost or delivery timetable. We will discuss material changes with you before carrying out additional work.

Prices

Prices shown on the website are correct to the best of our knowledge when published, but we may change our prices from time to time.

Changing a price displayed on the website will not retrospectively change fees that we have already agreed with you for existing work, unless our separate agreement allows for this and any required notice has been given.

Where a quote or proposal differs from a general price displayed on the website, the price specifically agreed with you will apply.

Any applicable VAT treatment will be made clear where relevant.

Payment

The payment arrangements for services will be confirmed when we agree to work together and may also appear on our invoices.

You are responsible for paying invoices in accordance with the payment terms agreed with you.

If an invoice becomes overdue, we may pause or suspend work where permitted by our agreement with you and applicable law.

Nothing in these website terms overrides any payment provisions contained in a separate client agreement.

Your responsibilities when working with us

To provide services effectively, we rely on clients providing appropriate information, instructions, decisions and access when reasonably required.

You are responsible for:

  • giving us accurate and complete information

  • providing information and approvals within a reasonable timeframe

  • ensuring you have the right to provide us with any information, materials or access credentials supplied to us

  • keeping appropriate backups of important business information

  • maintaining suitable security for your own accounts and systems

  • reviewing and approving work where your approval is required

  • complying with laws and regulations that apply to your own business

Delays in receiving information, access or decisions may affect our ability to complete work within an expected timeframe.

Technology, automation and AI

Some of our services may involve recommending, setting up or working with third-party software, technology, integrations, automation tools or AI-enabled services.

Technology can change, experience outages or behave differently following updates. We therefore cannot guarantee that a third-party platform, integration or automation will remain available or function in exactly the same way indefinitely.

Where appropriate, we will make practical recommendations based on the information available to us, but responsibility for deciding whether a particular tool or process is suitable for your business remains with you.

We will not knowingly enter confidential client information into third-party AI tools without appropriate consideration of confidentiality, data protection and the instructions agreed with the client.

Intellectual property

Unless stated otherwise, the content of this website — including its copy, branding, graphics, design elements, photographs and other original material — belongs to The Online PA or is used with permission from the relevant rights holder.

You may view and use the website for your own legitimate purposes.

You may not reproduce, republish, distribute, commercially exploit or substantially copy our website content without our prior written permission, except where permitted by law.

Third-party names, logos, trademarks and materials remain the property of their respective owners.

Client materials and work created for clients

Ownership and permitted use of materials created specifically as part of paid client work will be governed by the agreement relating to that work.

Unless otherwise agreed, you retain ownership of materials that you provide to us, subject to giving us the permission reasonably necessary to use those materials to provide the agreed services.

You are responsible for ensuring you have appropriate rights or permissions for any materials you ask us to use.

Testimonials and examples

We may display testimonials, reviews or examples of previous work on the website.

They reflect the individual experiences of the relevant clients and should not be interpreted as a guarantee that every client will achieve the same results or experience.

We will only identify or feature client work in accordance with the permissions or arrangements applicable to that material.

Third-party websites and services

Our website may link to websites, platforms, products or services operated by other organisations.

These links are provided because we think they may be useful or relevant. We do not control third-party websites and are not responsible for their availability, content, security, privacy practices or terms.

If you follow a third-party link or use a third-party service, you should review that organisation’s own terms and privacy information.

Liability for use of the website

Nothing in these terms excludes or limits liability where it would be unlawful for us to do so, including liability for:

  • death or personal injury caused by negligence

  • fraud or fraudulent misrepresentation

  • any other liability that cannot legally be excluded or limited

Subject to this, The Online PA will not be responsible for losses arising solely from your reliance on general information published on this website or from circumstances outside our reasonable control.

These website terms do not limit any separate rights or remedies you may have under a client agreement with us.

Business users

Our virtual assistant and business support services are primarily intended for businesses and people purchasing services for purposes connected with their trade, business, craft or profession.

If you deal with us as a consumer rather than for business purposes, nothing in these terms affects any legal rights that cannot lawfully be excluded or restricted.

Where consumer rights apply, those rights will take priority over any conflicting provision in these terms.

Privacy and cookies

Your use of this website is also subject to our Privacy Policy and Cookie Policy.

Our Privacy Policy explains how we collect and use personal information.

Our Cookie Policy explains the cookies and similar technologies used by the website and how you can manage your preferences.

Changes to these terms

We may update these Terms & Conditions from time to time, for example because:

  • the website changes

  • our services change

  • our business practices change

  • relevant laws or regulations change

The date at the top of this page shows when these terms were last updated.

Changes to these website terms will not automatically change the terms of an existing client agreement.

Governing law

These Terms & Conditions and any dispute relating to the use of this website are governed by the laws of England and Wales.

The courts of England and Wales will have jurisdiction, subject to any rights that applicable law gives you to bring proceedings elsewhere.
